Kawira Safaris' Service Terms

1.1Booking Confirmation

All bookings are subject to availability and confirmation by Kawira Safaris. A deposit of 50% is required at the time of booking to secure your reservation.

1.2Full Payment

The remaining balance must be paid no later than [number] days before the start of the tour. Failure to complete payment by this deadline may result in cancellation of the booking without refund.

1.3Payment Methods

Payments can be made via bank transfer, credit/debit cards, or other approved methods. Any transaction fees will be the responsibility of the client.

2.1Cancellation by the Client

Cancellations must be made in writing. The following cancellation charges will apply:

  • More than 20 days before the start of the tour: 10% of the total price.
  • Between 5 and 20 days before the tour: 50% of the total price
  • Less than 6 days before the tour: No refund.

2.2Cancellation by Kawira Safaris

Kawira Safaris reserves the right to cancel any tour due to circumstances beyond our control, such as natural disasters, government restrictions, or force majeure. In such cases, clients will be offered an alternative tour or a full refund.

3.1Client’s Changes

Requests to alter the itinerary after booking may incur additional charges and are subject to availability. Kawira Safaris will make every effort to accommodate reasonable changes.

3.2Changes by Kawira Safaris

While we strive to operate all tours as advertised, we reserve the right to make changes to the itinerary due to unforeseen circumstances. Any significant changes will be communicated in advance, and alternative arrangements will be made where possible.

It is mandatory for all clients to have comprehensive travel insurance covering personal injury, medical expenses, repatriation, and cancellation. Kawira Safaris will not be held liable for any costs incurred due to lack of adequate insurance.

Clients are responsible for ensuring that they are in good health and fit to participate in the activities included in their tour. Any existing medical conditions must be disclosed at the time of booking. Kawira Safaris reserves the right to refuse participation to anyone deemed unfit.

It is the responsibility of the client to ensure that they have valid travel documents, including passports, visas, and any required vaccinations. Kawira Safaris does not accept liability for any issues arising from non-compliance.

7.1Kawira Safaris’ Responsibility

Kawira Safaris will not be held responsible for any loss, injury, or damage to personal property, illness, or injury sustained during the tour, except where such loss or damage is caused by our negligence.

7.2Third-Party Suppliers

Some services on our tours are provided by third-party suppliers. While we make every effort to work with reputable companies, Kawira Safaris is not responsible for their actions, omissions, or any issues arising from their services.

If you have any complaints during the tour, please inform the tour leader immediately so we can address the issue. If the matter is not resolved, a formal complaint must be submitted in writing within 4 days of the tour’s conclusion.

Kawira Safaris will not be liable for any failure to perform its obligations where such failure is due to events beyond our control, including but not limited to natural disasters, government actions, pandemics, and political unrest.

These Terms & Conditions are governed by the laws of Rwanda, and any disputes will be subject to the exclusive jurisdiction of the courts of Rwanda.
